• Keep questions and comments short to allow time for others to speak

The Roundtable is moderated to ensure a productive and welcoming environment for all members.

Policy

Purpose

The Quarterly Biewer Roundtable is an informational and listening forum designed to strengthen
communication, provide transparency, and encourage constructive engagement among members of the Biewer
Terrier Club of America (BTCA).
This forum is not a formal Club business meeting and does not replace the authority of the Board of Directors or
the requirements of the BTCA Bylaws.

Scope

The Quarterly Biewer Roundtable is intended to:
• Share updates on Club initiatives and priorities
• Provide clarity regarding Board and committee work
• Offer members an opportunity to ask questions and share constructive ideas
• Promote unity and forward-focused collaboration

The Roundtable is not intended for:
• Motions, votes, or official business actions
• Disciplinary matters, grievances, or appeals
• Legal disputes or litigation discussion
• Electioneering or campaign activity

Format and Structure
• Held quarterly
• Moderated by the President or a designated Board member
• Agenda published in advance
• Duration: 60 minutes
• Questions should be submitted in advance and may be prioritized

Participation Guidelines
• All comments must remain respectful and professional
• Discussion must focus on ideas and issues, not individuals
• Constructive, solution-oriented input is encouraged
• The moderator may limit time, redirect discussion, or decline topics outside the forum’s scope

Authority

The Quarterly Biewer Roundtable is informational only. No actions taken during the Roundtable are binding.
Formal Club business must follow the BTCA Bylaws and established procedures.

Resolution: Establishment of BTCA Quarterly Biewer Roundtable

Whereas, the Board of Directors (the Board) seeks to promote transparency, communication, and constructive
engagement among the membership while preserving proper governance and decorum; and

Whereas, the Board recognizes the value of providing a structured, informational forum for members that is
separate and distinct from formal meetings of the Board or membership; and

Resolved, That the Board of Directors establish the Quarterly Biewer Roundtable as an informational and
listening forum for members of the Biewer Terrier Club of America, subject to the adopted policy guidelines
and the authority of the presiding moderator; and

Resolved, That the Quarterly Biewer Roundtable shall not constitute a meeting of the Board or Membership
under the Bylaws, shall not conduct motions, votes, elections, disciplinary matters, or other formal Club
business, and shall not create binding actions or decisions; and

Resolved, That the Quarterly Biewer Roundtable shall be held on the 3rd Wednesdays of the months of
February, May, August, and November from 5:15 PM PST / 8:15 PM EST to 6:15 PM PST / 9:15 PM EST.
